Position Scope:
The Office Administration Assistant position is an 8-week summer opportunity designed for a student looking to gain valuable experience in a supportive, community-focused environment. Reporting directly to the Women's Centre Coordinator, the successful candidate will assist with day-to-day administrative operations, including data entry, organizing files, scheduling, and supporting staff with various clerical tasks.
This role is ideal for someone who is organized, detail-oriented, and passionate about contributing to a feminist, trauma-informed workplace. The Office Administration Assistant will work closely with staff, volunteers, and community members to help ensure smooth program delivery and efficient office operations.
Duties and Responsibilities:
- Provide administrative support to MSWC team, including data entry, document preparation, and filing.
- Answer phone calls and emails, direct inquiries appropriately, and provide information to community members in a respectful and trauma-informed manner.
- Greet and assist visitors and clients; manage building access by ensuring guests are let in and out of the secured space safely.
- Assist with scheduling, booking appointments, and maintaining calendars for staff and programming.
- Support the preparation and organization of materials for meetings, events, and programming.
- Fill personal care item orders for residents and community members, maintaining an organized inventory system.Conduct basic research to support programming, funding opportunities, or community outreach.
- Support staff with compiling and entering program statistics and other reporting needs.
- Assist with outreach tasks such as creating posters or social media updates.
- Help maintain a clean, welcoming, and organized office environment through routine tidying and light cleaning.
- Represent MSWC at community events as needed.
- Other related duties as assigned by the Women's Centre Coordinator, Supportive Living Program Coordinator, or Executive Director.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar, Drive) and general computer use.
- Comfortable answering phones, checking voicemail, and responding to email inquiries.
- Cooperative, friendly, and professional attitude.
- Ability to work independently and collaboratively in a team setting.
- Familiarity with MSWC's mission and programs is an asset.
- Understanding of feminist principles and trauma-informed practice.
- Awareness of gender equity, social justice, and community issues affecting women and gender-diverse individuals.
- Cultural humility and sensitivity to the impacts of intergenerational trauma.
- Understanding of confidentiality and ethical workplace conduct.
35 hours/Week for 8 Weeks
General office hours are Monday to Friday, 8:00am — 4:00 pm.
Some evenings and weekends required.
Compensation:
Rate of pay will be $16/hour for a total of 280 hours.
Employment Dates:
Start date is July 2, 2025 and the end date is August 27, 2025.
